How we protect your personal information on this website and when you receive care.

1. Who this policy applies to
This policy explains how ELNA Private Care, operated by ELNA Medical Group Inc. (“ELNA”, “we”), handles your personal information on this website and when you receive our services. It complements the ELNA privacy policy, which applies to all ELNA services and which we invite you to read.
We handle your information in accordance with Québec’s Act respecting the protection of personal information in the private sector, as amended by Law 25, and the rules that govern medical records.
2. What this website collects
This website is informational. It has no forms, no patient accounts and no online booking.
Like any website, our host may keep technical logs (IP address, browser type, page requested, date and time) to keep the website secure and working. Fonts are hosted on our own server. The Google Maps map only opens if you click the link.
3. Cookies and advertising
Cookies used for traffic measurement or advertising are off by default. They are only turned on if you accept them in the cookie banner, by category:
- Essential: one cookie that records your choices for 6 months. Always on.
- Traffic measurement: Google Analytics, to learn which pages are viewed, the device type and approximate region, and to improve the website. Google’s ad personalization signals are turned off.
- Advertising: Google Ads and the Meta pixel (Facebook, Instagram), to measure the results of our ads, for example a call or a click to booking, and to show our ads to people who visited the website.
Advertising cookies are never used on our pages about a specific health condition (ADHD assessment, hormonal health, collective prescriptions and laboratory), so that no advertising platform receives information about your interest in a health condition. We do not use your health information for advertising.
Google and Meta may process this data outside Québec, under their own privacy policies. You can change or withdraw your consent at any time with the “Manage cookies” link at the bottom of every page. Refusing cookies does not change your access to the website.
4. When you call or write to us
When you contact us at 514-787-0055 or [email protected], we collect the information you give us, such as your name, contact details and the reason for your request, in order to reply and arrange your appointment.
Ordinary email is not secure. Do not send us sensitive medical information by email: our team will tell you how to share it.
5. When you receive care
To provide care, we collect in particular:
- your identity and contact information;
- your health information: history, reasons for consultation, examinations, results, diagnoses and treatments, recorded in your medical record;
- your insurance information, if you ask for a direct claim;
- the information needed for payment and to issue your receipts.
We use it to care for you, follow up on your results, coordinate specialist appointments when needed, remind you of appointments, bill you and issue your receipts. We do not use it for targeted advertising.
6. Who your information is shared with
Your health information is only shared with people who need it for your care, or with your consent, except where the law provides otherwise:
- the physicians, nurses and staff involved in your care;
- CDL Laboratories, for sample collection and testing, and the specialist clinic when you are referred there;
- your insurer, if you ask for a direct claim;
- our service providers (for example, IT systems and the electronic medical record), bound by contract to protection measures equivalent to ours.
Your employer never receives your results, diagnoses or reasons for consultation, including under an employer offer.
If information had to be shared outside Québec, we would first carry out a privacy impact assessment, as the law requires.
7. Partners and third-party websites
When you book a collective-prescription service at testlabo.ca, your information is collected by CDL Laboratories under its own privacy policy. The same applies to Google Maps and any other website we link to.
8. Security and retention
We protect your information with physical, technical and administrative measures, such as controlled access to premises and systems. No transmission method is completely secure, but we take reasonable measures to protect your information. If a confidentiality incident presents a risk of serious injury, we will notify you and the Commission d’accès à l’information.
Your medical record is kept for the period required by the rules of the Collège des médecins du Québec. Other information is kept as long as needed for the purposes for which it was collected, then securely destroyed or anonymised.
9. Your rights
You can:
- ask for access to the information we hold about you, including your medical record;
- ask for correction of inaccurate, incomplete or ambiguous information;
- withdraw your consent, subject to legal obligations and what is essential to your care;
- ask for a copy of your information in a structured, commonly used technological format;
- refuse promotional communications.
Write to the person in charge of the protection of personal information (section 11). We will verify your identity and reply within 30 days of receiving your request. If you are not satisfied with our reply, you can contact the Commission d’accès à l’information du Québec.
10. Minor patients
In Québec, a person aged 14 or older can consent alone to the care required by their health, and their health information is kept confidential. For a child under 14, including at the laboratory, consent is given by the parent or guardian.
